Office Administrator

Location: Leamington Spa Office-Based (Mon-Fri, 9:00 AM - 5:00 PM)
Salary: £25,000 - £28,000 (DOE)

About the Role

We are looking for a versatile and highly organised Office Administrator to support our Finance and Contracts teams with a range of reception, administrative, and compliance duties . This is a fantastic opportunity to join a professional, friendly, and supportive workplace , where your skills will be valued and developed.

Key Responsibilities

Reception & Office Management

  • Answer and direct telephone calls, taking messages when required.
  • Welcome visitors, ensuring a professional first impression.
  • Maintain office supplies, including stationery and kitchen essentials.
  • Manage the photocopier and liaise with maintenance for servicing.

Contracts & Health & Safety Administration

  • Assist with method statements, O&M manuals, and H&S documentation .
  • Ensure all subcontractors are compliant with training, insurance, and certifications (SMSTS, CSCS, etc.) .
  • Track and complete H&S assessments, including CHAS & Constructionline compliance .
  • Book training sessions and secure funding from CITB .
  • Conduct weekly fire alarm checks and maintain H&S compliance records.

Finance & Warehouse Support

  • Maintain the holiday calendar and record weekly timesheets .
  • Input delivery notes into Cost of Sales.
  • Support the Warehouse Manager with stock ordering .
  • Arrange equipment checks and servicing .
  • Assist the Finance Department with general administrative tasks, filing, and archiving.

What We're Looking For

? Previous administrative experience in a busy office environment.
? Strong attention to detail and organisational skills.
? Confident in using Microsoft Word & Excel .
? Excellent written and verbal communication skills.
? Ability to multi-task and prioritise workloads effectively .
? A positive ‘can-do' attitude and ability to work both independently and as part of a team.

Essential Qualifications:

GCSE Maths & English (Grade C or above).
