Working hours: Monday to Thursday (07:30 - 17:00) and Friday (07:30 - 16:00)
The HR Assistant is responsible for assisting the Head of People; efficient running of business operation matters, to always ensure the effective flow of resources throughout the business, adhering to the specific needs of each department.
Duties and Responsibilities
• Booking of hotel accommodation for staff & subsistence claims for employees.
• Internal communications across the business.
• Responsible for enforcing company policies and procedures at Head Office.
• Management of holiday system, sickness reporting and all employee benefit schemes.
• Management of training for all employees including maintaining and updating training matrix, organising courses, NVQ’s and CSCS Cards.
• Management of Head office including maintenance, supplies, security, cleaning, IT and equipment.
• Management of meeting room bookings at Head Office.
• Managing databases and filing systems.
• Manage the university sponsorship programme including liaising with universities, implementing training
agreements and ensuring fees are paid in line with agreed terms.
• Management of CITB levy and grant system including completing annual CITB levy submission, making
claims under the grant scheme for applicable training and recording payments received.
• Communicate company standards and policies to all staff.
• Production and maintenance of company CV’s.
• Documenting staff changes, performance reports and communications
• Scheduling onboarding tasks
• Managing communications for the HR department
• Answering employee questions
• Creating and distributing documents
• Requesting and confirming employee references.
• Maintain control procedures in accordance with the company's Integrated Management Systems ISO 9001,
ISO 14001 and ISO 45001.
• Uphold the company's corporate image.
Person Specification
• Knowledge of Microsoft SharePoint, Excel, Outlook and Word.
• Driving licence
• Good communication skills, both written and oral
• Excellent people skills
• Good time management and organisation skills
• Enthusiastic and self-motivated
• Approachable, with a professional manner
• Reliable
• Ability to work independently, flexibly, and as part
of a team
