Job Role: Hire Desk Controller

Salary : £30,000 - £36,000

Location : Ashby-De-La-Zouch, Leicestershire

We are looking for an organised, proactive, and customer-focused Hire Desk Controller to join our operations team. In this pivotal role, you will be the central point of contact for all hire-related enquiries, managing the end-to-end hire process from initial booking through to off-hire, ensuring equipment availability aligns with customer demand and operational capacity.

Duties :

  • Handle inbound enquiries via phone, email, and online channels, providing accurate product information, availability, and pricing
  • Process hire orders, extensions, and off-hires efficiently and accurately using the hire management system
  • Build and maintain strong relationships with existing and prospective customers, acting as a trusted point of contact
  • Proactively follow up on quotations, outstanding orders, and customer feedback
  • Monitor and manage equipment availability, ensuring optimal utilisation of the hire fleet
  • Coordinate with the transport and operations teams to schedule deliveries, collections, and on-site exchanges
  • Liaise with the workshop/maintenance team regarding equipment condition, breakdowns, and off-hire inspections
  • Identify and escalate any fleet shortfalls or logistical challenges in a timely manner
  • Maintain accurate hire records, customer accounts, and contract documentation
  • Raise purchase orders, credit notes, and invoicing queries as required
  • Ensure all hire activities comply with company health & safety policies, LOLER regulations, and industry standards
  • Prepare and distribute daily, weekly, and ad hoc operational reports

Attributes:

  • Previous experience in a hire desk, logistics coordination, or customer-facing operations role
  • Strong organisational skills with the ability to manage multiple priorities simultaneously
  • Excellent verbal and written communication skills
  • Confident user of hire management or ERP systems and Microsoft Office (particularly Excel and Outlook)
  • A proactive, problem-solving mindset with a focus on delivering customer satisfaction
  • Ability to work effectively both independently and as part of a team
